A letter to our customers – Spring 2010

To our valued topsOrtho customers,

Here’s an overview of some of the things we’ve accomplished in the past year to improve topsOrtho and give you a better user experience.

Image Optimization
topsOrtho is the only practice management software with built-in imaging. As a topsOrtho user, you don’t need to buy licenses or pay support for an imaging program, saving you thousands each year. We’ve just completed a major restructuring of our imaging, creating storage and presentation capabilities that are both fast and efficient. Practices with multiple locations and those who work from home, in particular, will experience a speed boost of up to five times. This technology also allows topsEcho—our upcoming iPhone app—to retrieve patient images over an ordinary cell phone connection at good speeds. While we were at it, we improved the image dating methods offered within topsOrtho.

topsServer Performance Improvements
In 2009, we began transitioning your topsServers to a new technology called RAID (Redundant Array of Independent Disks). RAID provides much higher levels of reliability and security because data is duplicated (redundant) over four (array) disk drives (disks). In other words, if one disk goes down, the others are still working, so you don’t lose time or data. Our tops techies researched the technology, determined the best configuration for topsOrtho customers, learned how to use it, and how to install it. All we ask of you is to invest in the RAID hardware and spend a few hours one weekend to make the change (or hire a tech to do it for you).

Reports
We’ve added nearly 20 new reports to help you analyze and make informed decisions about your practice. Some of these are: Income Analysis, Patient Flow, Appointments with Balances, Past Contract Charges, Insurance Setup Validation, Unusual Family Balances, and Future Appointments in Different Location. You now have approximately 200 ways to slice and dice your practice stats via topsOrtho reports.

Operating System Updates
Apple issued Snow Leopard, a major upgrade of its operating system, in August 2009. Within a week, topsOrtho customers were already transitioning to the new operating system. That’s because we did the early programming necessary to ensure compatibility between topsOrtho and Snow Leopard. This enabled tops customers to immediately take advantage of Apple’s new operating system benefits; in this case, a much faster performance. tops has a long history of keeping on top of new technology (unlike our Windows-based competitors), and our customers benefit from this.

OrthoBanc Credit Check
One of the unique benefits of using topsOrtho and subscribing to OrthoBanc is that we’ve fully incorporated OrthoBanc into the topsOrtho software. This means you can do every OrthoBanc transaction right within topsOrtho. Now, when you perform a credit check on a new patient, you don’t have to go to an outside website for the information; it’s all done within the tops program. There’s no duplication of effort, no loss of information, no moving things around from a website into patient records—it all happens automatically and smoothly within the topsOrtho system.

topsCephMate™ ceph tracing program
In spring 2009, we released topsCephMate 1.0, our first ceph tracing program. Today, we released version 2.0, in which we’ve completely reworked the engine that drives topsCephMate. The result is a faster, smoother, cooler ceph program than you’ve ever seen anywhere. And for a ceph program of this caliber, the price can’t be beat.

Letters
We added many new placeholders so you can customize letters even more. Write to referrers, patients and others with confidence that your letters will be unique and professional.

Lists
We added new information to the Patient List, Account List and Appointment List.

But Wait, There’s More!
We have an aggressive road map of products and product features. If you’re going to the AAO, please visit us (Booth #501) to see some of these. One we’re particularly excited about is the enhanced patient flow window, which includes an advanced lightbar system and a visual patient checkout workflow with photos of the patients awaiting checkout. It’s fully integrated within topsOrtho, so you can simply click on the patient’s photo, name or appointment to access his personal information, treatment plans and more.
